Yellowstone National Park Lodges has dedicated event and meeting spaces at Mammoth Hot Springs Hotel and Old Faithful Snow Lodge. From boardrooms to recreation halls, we have spaces to fit a variety of needs.

Mammoth Hot Springs Hotel

Mammoth Hot Springs Hotel offers 198 guest accommodations including hotel rooms and separate guest cabins. A full-service dining room, quick service restaurant, and two bars (one serving specialty coffees in the morning) round out the food and beverage options. Meeting/event space includes a board room and two conference rooms, with over 9,700 square feet of space and capacities ranging from 30 to 350 people, depending on the room and configuration. The variety of spaces can support meetings, small conferences, training sessions, team building activities, breakout sessions, buffet meals, breaks, and receptions.

Old Faithful Snow Lodge

The Old Faithful Snow Lodge has 134 guest accommodations including lodge rooms and separate guest cabins. Food service includes a full service and quick service restaurant, and a lounge. There is a single meeting room, 1,190 square feet in size, and can accommodate up to 80 people. This space can support meetings, training sessions, breaks, buffet meals, and receptions.

Event Catering

In order to have good meetings and conferences, you need to have good meals. We can do that. We’re able to serve groups with breakfast, lunch and dinner buffet-style meals in the applicable meeting spaces. We also have options for box breakfasts and to-go deli lunches for those groups who are including some park exploration in their agendas.

To ensure an enjoyable experience for all of our Yellowstone guests, we ask our groups to adhere to the following group policies and procedures.

Check-out time is 11:00 am.

Park entry fees are not included and must be paid upon arrival to the National Park Service.

Group rates are rack, non-commissionable, per room, per night, based on single, double, triple or quad occupancy as outlined. These rates are for rooms only and do not include any transportation, meals, room attendant gratuity, baggage handling, special surcharges or applicable taxes, unless expressly stated otherwise.

Tax rates and utility fees are subject to change without notice.

Rates and terms for group transportation, meals, and other services and activities (subject to availability), if applicable, should be arranged through the Meetings & Events Sales office.

We do require that all groups be accompanied by a “point person” who will accept complete responsibility for settlement of the master account, settlement of all incidentals and supervision of all group members.

We’re pleased to offer a variety of restaurants and group meal options. We offer prepaid meal coupons for all meals in our full-service restaurants. We can also arrange pre-set menus at specific dining times.  With some limitations, we can offer banquet-style meals at a few lodging properties. Additionally, deli lunches can be pre-ordered for those “on-the-go” itineraries.

A group may cancel meal reservations up to and including 7 days prior to the group’s scheduled arrival without forfeiture of the deposit.

Private meal cancellations occurring within 30 days of the group’s arrival will result in cancellation fees equal to the total charge for all cancelled meals for the entire length of the group’s scheduled stay.

A complete menu should be selected a minimum of 30 days prior to your scheduled event. We will be pleased to assist you in selecting the proper menu items to ensure a successful event. All food and beverage served in our facilities must be provided by our facilities, with the exception of wedding cakes. All menu items are subject to change seasonally. In consideration of health and safety issues, food and beverages purchased in Yellowstone National Park Lodges facilities may not be removed from the premises.

BUFFET REQUIREMENTS
All breakfast and lunch buffets require a 25 person minimum. Groups with a final count less than 25 will be charged for 25 people. All dinner buffets require a 50 person minimum. Groups with a final count less than 50 will be charged for 50 people. Buffets scheduled longer than 1.5 hours will be charged an additional $1.75 per person, per half hour.

MEAL GUARANTEE
A guaranteed attendance count must be received in writing no less than 14 days prior to your scheduled event. If a final guaranteed attendance is not received, the original number given will be considered the correct guaranteed number of attendees. After this date, a decrease in attendance will still be billed at the guaranteed attendance count. The location will be prepared to serve 5% over the guaranteed attendance count.

OUTSIDE FOOD VENDORS
Xanterra is an authorized concessioner of the National Park Service. As such, we are solely responsible for providing conference services, and related services in our facilities. Outside caterers are not permitted to provide services in our facilities. Wedding cakes are the only outside food and beverage allowed

Prices quoted do not include sales tax, service charges, or utility fees unless otherwise noted. Prices are subject to change. Groups with less attendees than the minimum stated for each buffet will be billed for the stated minimum number of guests. Children’s pricing is available for children 11 years old or younger for buffets, once the buffet minimum has been met.

ADMINISTRATIVE FEE AND ROOM RENTAL CONFIRMATION
The room rental fee must be received in order to confirm a facility reservation. In the event of a cancellation, 100% of the room rental fee will be retained as an administrative fee.

SALES TAX, SERVICE CHARGES, & UTILITY FEES
The six different locations in Yellowstone National Park exist within two separate Wyoming State Counties, Park County and Teton County. Park County has a 4% sales tax and includes the Mammoth Hot Springs, Roosevelt Lodge and Canyon Lodge locations. Teton County has a 6% sales tax and includes the Lake Area, Grant Village, and Old Faithful Area locations. The appropriate sales tax will be applied to all events, unless a current Streamline Sales and Use Tax Agreement form is on file. According to Wyoming State Law, all mandatory charges will be taxed. A mandatory taxed 1.2% utility fee and a mandatory taxed 18% service charge will be applied to all event charges excluding the room rental fee(s).

UTILITY FEE
Due to the increased costs associated with providing utility services in a remote region such as Yellowstone, all visitors who purchase services from concessioners are charged a utility fee to ensure continuity of these services, timely repair and maintenance, and improvements to the utility infrastructure throughout the park. The fee was determined by comparing our utility costs versus those charged to regional operators outside of Yellowstone. Similar utility fee programs are in place in other National Parks. 100% of all utility fee collections are dedicated to the upgrade, maintenance, and operation of the Park’s utility infrastructure, and the concessioners hold none of the collections.

GROUP LODGING

A typed rooming list must be received by the Xanterra Travel Collection® at least 30 days prior to the scheduled arrival date. The rooming list must identify individual guest names and indicate whether such guest is staying in a single, twin, triple or quad occupancy room. The escort’s name, address and arrival time also must be specified. The driver’s name and payment instructions for the driver’s room must be included. All children’s ages must be noted. Individual guests identified on the rooming list must be assigned to a room.

All unassigned rooms will be released.

DIRECT BILLING

Direct billing privileges are extended only to approved volume users utilizing multiple properties. Authorized groups must have an approved credit application on file with Xanterra. Payment is due upon receipt of the invoice and is considered delinquent 37 days after the date of the invoice.

DEPOSITS

A deposit of 50% of the total must be received by Xanterra at least 3 months prior to the group’s scheduled arrival date.

Final payment (final 50%) must be received at least 30 days prior to the group’s scheduled arrival date unless direct billing is authorized and in effect.

If any of the payments described above is not received by Xanterra by the applicable date, the group’s reservation will automatically will be cancelled and will not be eligible for rebooking. The group has the burden of showing that Xanterra received the appropriate amount on or before the applicable date.

Delinquency or failure to pay either deposits or final payments could, in Xanterras sole discretion, impact the group’s future booking privileges.

All cancellations must be received by the company in writing. No phone cancellations will be accepted or valid.

The group may cancel its reservation up to and including 30 days prior to the group’s scheduled arrival date without charge and all deposits will be fully refunded.

If the customer cancels its reservation or reduces the number of rooms reserved 30 days or less before the group’s scheduled arrival, the group will pay damages equal to the room charge for each room cancelled for each night for the entire length of the group’s scheduled stay.

Xanterra reserves the right to cancel a group’s reservation without notice if the payment and/or rooming list requirements are not met.

The National Park Service charges a fee to enter the park. These fees can be paid at the time of entrance. Generally, for non-commercial vehicles, the fees are as follows and are good for entry into Yellowstone National Park for seven days from the date of purchase. • Private, non-commercial vehicle: $35 • Motorcycle or snowmobile: $30 • Individual (by foot, bicycle, ski, etc.): $20/person Annual passes can also be purchased in advance through the National Park Service.

Parking is free in designated areas once inside the National Park boundaries.
